Uploading products to Hubventory is way better than ever. Here are three (3) ways to upload your product.
1. Manual Upload
2. Bulk Upload using Hubventory Template in CSV Format

A. Manual Upload

This method is applicable only for the 10 below products to upload or for those who love to do things manually for accuracy.
1. On your dashboard, go to Products > Add New Products.
2. Fill in the boxes with the necessary information. Make sure not to leave blanks in those boxes that are marked important. For a complete guide, you may refer to this article link.

3. Next, toggle the Variants tab and fill in the box with the necessary information. Make sure not to skip the important boxes to avoid errors when saving. For a complete guide, you may refer to this article link.

4. Now that you have filled in all the required information, go to the Images tab. Remember to use photos in .jpg or .png format for successful uploads. Ensure that the total size of photos does not exceed 20 MB. You can rearrange the photos by dragging them into the desired order. For best results, read Hubventory's photo guidelines.

5. To review the outcome, set the visibility to "Draft" and save it. This way, you can see how it will appear to your buyers. Remember, you can change the visibility of your product anytime.

B. Product Upload Using Hubventory Template in CSV Format

This is commonly used if you have to transfer the data from the CSV file from another sales platform to your Hubventory profile. Also, It’s best to use a Google Sheet when working on this matter. Please check out the step by step process below.

Always download Hubventory’s Official Template to make sure you have an updated sheet to use for upload. If you notice, the file has 2 tabs, namely, Products and Valid Options.
Products - Is where you will store all the product information to be uploaded

Valid Option - Is where you take the necessary dropdowns to use in Hubventory. 


Here are the fields that require you to get the drop-down option from the VALID OPTION tab:

1. Visibility

2. Category

3. Size

4. Fit

5. Season

6. Country of Origin

7. Weight Unit

8. Track Inventory


Let's start with the required fields. These fields must be filled to avoid any error messages during template upload to the website. Now, proceed with filling in your Hubventory Product template. Pay attention to the important fields and avoid leaving any spaces to prevent upload errors.

Required fields:

1. SKU, or Style Number: SKU is a distinct code for each size/color or other variant a product may have. Although we do require this field on our template, we understand that some Brands may not use it. And that's not a problem; you may use your Product Title or whatever you're using to identify your product.

2. Product Title: A one-liner sentence that best describes your product

3. Visibility: this is where we can select the option to have the SKU or Product active by using the drop-down Published, and Unpublished if the SKU or product is sold out or is not to be displayed for now.

4. Category: this is the classification of your products. Hubventory's template requires you to use the list given in the second tab titled Valid Options, Column D. With your existing categories or keywords, find the best option to have as your category.

5. Price: This is the marked up price of your products. Make sure all your items have one. 

6. Product Description: This is the information that best showcases your products' features and will be displayed for Retailers to see.
7. Images: This is the part where you showcase your products. You may use the image link from the CSV you downloaded. 

Out of the fields that are not required, here are the recommended fields that must be filled out for your products as well.


Not required but recommended fields:

1. Sizes: This can be a single item or a pre-pack. Package assembled by the brand that contains a specific number of items or a specific assortment of sizes.

2. Track Inventory: This feature will set the SKU or product from PUBLISH to DRAFT once the count is zero. This is a great way to automatically track your inventory, although there are challenges too. If you are selling the same product on other platforms, you have to keep the inventory count active. (Check this link for more information about the inventory count field.)

3. Color: This is to signify the item if it can’t be varied by size. 


Again, remember to enter all required fields to seamlessly upload your products.

C. Shopify Integration 

You may now integrate your Shopify account with your Hubventory if you have one. You do not need to download Shopify’s CSV and import it to Hubventory. Note:
1. Only brands can integrate their Shopify accounts with Hubventory.
2. Shopify accounts that have an address OUTSIDE the US will likely encounter an error since Hubventory only accepts vendors within the US at the moment.

We currently don’t have a video tutorial on how it works with Shopify; however, we have an article created that will help you how to seamlessly add your products from Shopify.

Additional Information


A. EXPORTED FILE AND IMAGES

Here are the key factors to consider with your exported file and how to prepare your images.


Using an exported file from Shopify.

Image links on the raw file are arranged vertically, and looking at Hubventory's template, it has to be in 1 row under field title: Image 1 through Image 7.


To achieve this, add 7 extra columns next to the "image source" column in your raw file. Then do transposing, which is the process of transferring the files to the row, here are the steps:

1. Copy the image URLs and paste them into the field below the first added column, aligned to their respective SKUs. Right-click and select "Paste Special," then choose "Transposed."

2. For the formula, type =TRANSPOSE(selected cells) (e.g., =TRANSPOSE(A1:A7)) in a field under the first added column, aligned to their respective SKUs.


Once you have transposed the images using the TRANSPOSE formula in your raw file, follow these steps:


1.Filter the SKU field and uncheck "Blanks" to hide all empty cells, leaving only the image links visible.

2. Copy the image links.

3. Paste the image links into the Hubventory template using either CTRL + Shift + V or right-click on an empty cell in the image column, choose "Paste Special," and select "Values Only."


Please note that seven (7) is the maximum number of images.


Using an exported file from Faire.

The URL of your images is arranged horizontally. Simply, copy and paste the links to the Hubventory template.

Please note that the images we choose should not exceed 7, because that is the maximum amount of images needed in the Hubventory Template.


Using your own file or exported file from another ERP or platform, here are the 3 things to do next.

1. Prepare all image file name

2. Enter the file name onto the template

3. Bulk upload all photo to Hubventory's Bulk Photo Upload


1. All images should have their SKU name as the file name. If there are multiple images, the SKU file name should have a sequence of numbers in order for them to be linked when uploaded through the Bulk photo upload.

ex.

ABCD1234.1 , ABCD1234.2 , ABCD1234.3 , ABCD1234.4

ABCD1234-orange.1 , ABCD1234-orange.2 , ABCD1234-orange.3;  ABCD1234-orange.4

ABCD1234-gray.1 , ABCD1234-gray.2 , ABCD1234-gray.3 or ABCD1234.1


Make sure that all of your product images are of the same file type for it to be easy to drag and drop on the Hubventory template


2. Template arrangement:


Now that all the images have updated filenames (if needed), we should ensure that the Template has the same file names, as our goal is to link them during the upload.


Let's return to our template. Since all necessary fields are filled, it's time to add the image titles (filenames) to Column Y or the column with Image 1 as the field title. 


Use the formula =CONCAT(cell,"string") when transposing the images. Here's a shortcut: the CONCAT feature will automatically choose the SKU or product in the same cell. 


To drag and drop, ensure all images in the bulk photo upload have the same file format. For example: =CONCAT(cell,"_1.jpg") or =CONCAT(cell,"_1.png"). 


Remember, this process requires time and patience.


3. To upload images to Hubventory, follow these steps:


3.1On the Hubventory dashboard, click the arrow down on the left side and select "Bulk Photo Upload."

3.2 There are two ways to upload images: drag and drop them from a folder or click the rectangular space to open a pop-up window. In the pop-up window, locate the file on your computer and select all the images you want to upload, then click "Open."

3.3 Once you complete the Template, all images will be linked, and each SKU or product will have its own image.


Now, your Template is ready to be saved as a CSV and uploaded to Hubventory.


B. UPLOADING THE TEMPLATE:

After finishing work on the template, ensure to download the file in CSV format. Click on the File menu, choose Download from the drop-down, and select the "Comma Separated Values (.csv)" option. The downloaded file will be saved in your Downloads folder.


Next, go back to the Hubventory Website and access your dashboard. Inside the Products Category, select "Import from CSV." Click on "Upload New CSV," and a box will appear. You can either drag your downloaded CSV file to the box or click on it to navigate through your computer files.


Once your file is inside the box, click the "Upload CSV" button. This action will take you to another page where you can map out the values inside your file.


To start Mapping, follow these three steps:

Step 1: In the "Header row #" box, enter "1", and in the "Data starts on row #" box, enter "4".


If this isn't your first time uploading products, you can also update existing Variants and Products by ticking the box that says "Update Existing Variants and Products."


Now let's proceed to Step 2. Here, you'll map out your values, ensuring that your CSV file headers match the corresponding Hubventory Title fields. For example, SKU should match with SKU, Product Title with Title, Product Description with Description, and so on.

You may sometimes encounter some products that haven't been mapped yet since you have a custom sizing. For example, the sizes that do not match to any that are inside Hubventory Official Templates under Valid Options Tab. Worry no more since you don’t have to start again but instead, you may map them manually before uploading on the same page where you’re in. Relatively, you may check the screenshot below for reference.


To map those sizes, you may copy your custom sized or customized category before clicking on “Add New Size.” A window will pop up for you to add your custom size. Please see the attached screenshot of what it looks like.


You may leave the first box drop down blank and proceed to the next 2 boxes. Now, under the box of “Size, paste your custom size. Next, let’s not be confused with Quantity. Input the numbers if how many are in the pre-pack. For example, if the screenshot above has a pre-pack of 12 pairs, your quantity should also be 12. Or if it’s a single item, you can input as 1. If you think all the information is correct, click on the save button.
Note: Only check “Plus Size” for plus size items.


When you're confident about the values you mapped out, at the bottom of the page is Step 3. Now click on "Preview Import." If you encounter no errors, click on the "Looks Good, Start Import" button, a pop up will show up and click on “Start Import.” 


If you do encounter errors, it should tell you which rows in your CSV file have the problem. You can edit the file and re-do the steps above.


When you are done and you click on the Start Import, you will have to wait a couple of minutes, depending on the number of cells you uploaded and the weight of the photos uploaded. Once successful, it should notify you on the Notifications tab, and you can view the Results.


C. RECHECKING PRODUCTS

Congratulations! Your products have been successfully uploaded to your Hubventory account.


To review them, go to your Dashboard and click on the Products dropdown on the left side. Choose "All Products" and click on a product to check each tab for additional fields to enhance your product presentation.
