There are three (3) ways to upload your product, one is doing it manually, in bulk by using the official Hubventory template, and integrating your Shopify products to Hubventory (Click here to know more about Shopify Integration).
Uploading in bulk by using the official Hubventory template.
Let's go and first is to download the template
On the right side of your dashboard, click the arrow down on Products and select Import from CSV, then click the button: DOWNLOAD OFFICIAL TEMPLATE.
There are 2 tabs inside the template, first is the PRODUCTS, where you will input all product details and the second is VALID OPTIONS, where you can find the options to use on some fields that are the best fit for your product.
Here are the fields that require you to get the drop-down option from the VALID OPTION tab:
1. Visibility
2. Category
3. Size
4. Fit
5. Season
6. Country of Origin
7. Weight Unit
8. Track Inventory
Now, let's go over the required fields first. These are the fields that have to be populated in order to not have any error messages when uploading the template to the website.
Required fields:
1. SKU or Style Number: SKU is a distinct code for each size/color or other variants a product may have. Although we do require this field on our template, we do understand that some Brands may not use one. And that's not a problem, you may use your Product Title or whatever you're using to identify your product.
2. Product Title: is a one-liner sentence that best describes your product
3. Visibility: this is where we can select the option to have the SKU or Product active by using the drop-down Published, and Unpublished if the SKU or product is sold out or is not to be displayed for now.
4. Category: it is the classification of your products. Hubventory's template requires you to use the list given found in the second tab titled Valid Options, Column D. With your existing categories or keywords, find the best option to have as your category.
5. Price: make sure to add a price on each of your products.
6. Product Description: this is the information that best showcases your products' features and will be displayed for Retailers to see.
Out of the fields that are not required, here are the recommended fields to showcase your products well.
Recommended fields:
1. Sizes: or pre-pack, is a package assembled by the brand that contains a specific number of items or a specific assortment of sizes.
2. Track Inventory: this feature will set the SKU or product from PUBLISH to DRAFT once the count is zero (0). This is a great way to automatically track your inventory, although there are challenges too, if you are selling the same product on other platforms, you have to keep the inventory count active. (check this link for more information about Inventory Count Field).
3. Images: show off those best pictures with up to 7 images using the URL or filename.
Again, remember to enter all required fields to seamlessly upload your products.
EXPORTED FILE AND IMAGES
Here are the key factors to consider with your exported file and how to prepare your images.
Using an exported file from Shopify.
Image links on the raw file are arranged vertically, and looking at Hubventory's template, it has to be in 1 row under field title: Image 1 through Image 7.
A tip on how to do this is by going back to your raw file, and adding 7 additional columns next to the column "image source". Then do transposing, which is the process of transferring the files to the row, here are the steps:
1. Highlight the image URLs and copy. On the field under the first added column aligned to their SKU, Right-click and choose "Paste Special" then "Transposed".
2. For the formula, please type =TRANSPOSE(selected cells) e.g =TRANSPOSE(A1:A7). Put this formula on a field under the first added column aligned to their SKU.
After Transposing the images using the TRANSPOSE formula on your raw file, filter the SKU field then uncheck the "Blanks" so that all empty cells will be hidden and it will just only show the image links then proceed with copying the image links and paste them on the hubventory template CTRL + Shift + V or you can right-click on an empty cell on the image column then choose PASTE SPECIAL then VALUES ONLY.
Please note that seven (7) is the maximum number of images.
Using an exported file from Faire.
The URL of your images is arranged horizontally. Simply, copy and paste the links to the Hubventory template.
Please note that the images we choose should not exceed 7, because that is the maximum amount of images needed in the Hubventory Template.
Using your own file or exported file from other ERP or platform, here are the 3 things to do next.
1. Prepare all image file name
2. Enter the file name onto the template
3. Bulk upload all photo to Hubventory's Bulk Photo Upload
1. All images should have their SKU name as the file name. If with multiple images, the SKU file name should have a sequence of the number in order for them to be linked when uploaded through the Bulk photo upload.
ex.
ABCD1234.1 , ABCD1234.2 , ABCD1234.3 , ABCD1234.4
ABCD1234-orange.1 , ABCD1234-orange.2 , ABCD1234-orange.3 , ABCD1234-orange.4
ABCD1234-gray.1 , ABCD1234-gray.2 , ABCD1234-gray.3 or ABCD1234.1
Make sure that all of your product images are of the same file type for it to be easy to drag and drop on the Hubventory template
2. Template arrangement:
Now, with all of the images with the updated filename (if needed).
We need those same filenames onto the Template, as our goal is to link them when uploading the Template.
Let's go back to our Template, now that all necessary fields are all populated, it's now time to put the image titles which are the filename onto Column Y or on the Column with Image 1 as the Field title.
Use the formula =CONCAT(cell,"string") when transposing the images. Let me tell you a shortcut, CONCAT feature will automatically choose the SKU or product on the same cell. To drag and drop make sure that all the images on the bulk photo upload are in the same file format. Example: =CONCAT(cell,"_1.jpg") or =CONCAT(cell,"_1.png"). Again, this truly requires time and patience."
3. On your Hubventory dashboard, on the left side click the arrow down and choose Bulk Photo Upload. Two ways to upload images, one is to drag and drop from a folder all images and the second one is click the rectangular space, a pop-window will appear, locate from your computer the file and select all your want upload and click on Open
And when you are done with the Template, it all will be linked and SKU or product will have their respective images.
And now, your Template is ready to be saved as CSV and to be uploaded to Hubventory.
UPLOADING THE TEMPLATE:
When done working on the template, make sure to download the file in a CSV format. To do that, click on the File menu, inside the drop-down choose Download, and click on the "Comma Separated Values (.csv) option." The downloaded file should be found in your Downloads folder.
After that's done, go back to the Hubventory Website and go to your dashboard.
Inside the Products Category choose the "Import from CSV."
Click on the "+ Upload New CSV" and a box should appear. You can either drag your downloaded CSV file to the box or click on it for another window to appear that lets you navigate through your files inside your computer.
When your file is showing inside the box, click on the "Upload CSV" button. It should transport you to another page that will let you map out the values inside your file.
To start Mapping, here we have 3 steps!
Step 1: "Header row #" box should be "1" & "Data starts on row #" box should be "4".
And if this is not your first time uploading your products, you can use these steps too to update existing Variants & Products by ticking the box that says "Update Existing Variants and Products"
Now let's move to, Step 2. This is where you start mapping out your values, making sure that your CSV file headers match with the Hubventory Title fields. For example, SKU is for SKU, Product Title is for Title, Product Description is for Description, and so on.
When you're confident about the values you mapped out, at the bottom of the page is our Step 3, now click on "Preview Import." If you encounter no errors, click on the "Looks Good, Start Import" button.
However, if you do encounter errors, it should tell you which rows from your CSV file have the problem. You can edit the file and re-do the steps above.
When done and you clicked on the Start Import, you will have to wait a couple of minutes depending on the number of SKUs you uploaded. Once successful, it should notify you on the Notifications tab and you can view the Results.
RECHECKING PRODUCTS
Congratulations! Your products have been uploaded to your Hubventory account successfully.
To review them, from your Dashboard, on the left side, click on Products arrow down and choose All Products. Click on a product and check each tab to see if there are other fields to populate to best showcase your product.
